ClubCarbon controls this application. By registering or signing in, you're agreeing to the following, written in plain terms deliberately. For "what happens to my data" questions specifically, see the Privacy page instead, that's covered there rather than repeated here.

What ClubCarbon is

A tool that reads a sports club's invoices and works out its carbon footprint and spend. The dashboard, manual entry and a first batch of AI-read invoices are free for everyone; the Basic plan adds up to 50 AI-read invoices a year and unlocks the full report and its downloads, and Pro raises that to 200 and adds the Next Steps section on top.

Your account

Keep your password to yourself, you're responsible for what happens under your login. Give accurate information when registering, a real club name and a real email you actually check. An account can be removed, by you or by us, at any time, see Privacy for what happens to your data when that happens.

Accuracy of results

Figures are estimates, calculated using the GHG Protocol and published emission factors (SEAI for Ireland, with UK Government DEFRA/DESNZ figures filling any gap Ireland hasn't published), based on the documents you supply, and every figure traces back to a source document. That makes them credible and checkable, it does not make them independently certified, verified or assured by SEAI, the EPA, or any other body, under standards such as ISO 14064-3 or ISAE 3410 or otherwise. ClubCarbon gives no warranty as to the accuracy or completeness of any figure, report or suggestion the service produces, and accepts no liability for decisions made in reliance on them. Where the service suggests general next steps or actions, those are non-binding starting points for a conversation, not professional advice specific to your club.

How your invoices are read

When you upload a bill, the file is sent to Anthropic's Claude API over an encrypted connection. Claude is a large language model: it reads the document the way a person would and returns a fixed set of fields, supplier name, billing dates, consumption and cost, nothing else is asked for or extracted. ClubCarbon's own code then applies the relevant published emission factor to those figures; Claude never calculates or sees an emissions number, it only reads what's on the page. Before anything is saved, you're shown what was found so you can correct or reject it.

The original file and the figures extracted from it are stored on ClubCarbon's own server (see Privacy for exactly where). Anthropic's copy of what it processed is automatically deleted within 30 days, and is never used to train Anthropic's models under the terms ClubCarbon uses their API on. Like any automated reader, it can occasionally misread a figure on an unusual or poor-quality document, which is exactly why every figure is shown to you before it's saved, and why every saved figure stays traceable back to the source document on the Calculations page.

Subscriptions and payment

Where a subscription is live and paid, card payments are processed by Stripe, we never see or store your card details. Prices shown are subject to change, and you'll be told before any change affects a subscription you're already on.

Refunds

Ask for a full refund within 14 days of your first payment on a plan, no reason needed, email admin@clubcarbon.ie and it'll be processed directly. After that 14-day window, payments aren't pro-rated or refunded, but you can cancel at any time from the billing portal, which stops the next renewal, your subscription simply runs until the end of the period you've already paid for and then doesn't renew.

Uploading accurate documents

Only upload documents you have the right to use, your own club's invoices and statements, and make sure they're accurate and checked by the club before uploading. The same goes for your club's crest or logo if you add one for your reports, you confirm you have the right to use it. The results ClubCarbon produces are only ever as good as the documents you give it. Don't try to access another club's data, or use the service for anything unlawful.

Please don't upload documents containing personal or sensitive information about specific individuals, including any detail about children or underage members, even indirectly (for example, a travel invoice listing individual players by name). Redact that kind of detail before uploading. See Privacy for more on what ClubCarbon holds and why.

ClubCarbon team access

You agree that the ClubCarbon team may view your club's account, documents and figures to set your club up, give support and check the tool is working, as described in our Privacy page. We treat your data as confidential and use it for nothing else. You can choose to hide your cost figures from the ClubCarbon team at any time in your Account page, which we will respect, though it may limit the support we can give.

Who owns your figures

The invoices and documents you upload remain your club's property. The same goes for the emissions figures and reports ClubCarbon calculates from them, they're yours to use, share or publish however you see fit, in a grant application, to your committee, or with your governing body. ClubCarbon claims no ownership over your club's own figures. The platform itself, its methodology and its code remain ClubCarbon's.

Limitation of liability

Beyond the accuracy disclaimer above, ClubCarbon's total liability for any claim arising from your use of the service, whether for downtime, data loss or anything else, is limited to the amount your club has paid ClubCarbon in the 12 months before the claim arose. On the free plan, that amount is zero. ClubCarbon is not liable for indirect losses, such as a rejected grant application or funding decision, arising from your use of the service.

Changes to these terms

These terms may be updated as the service develops. The current version always lives at this page, and continuing to use ClubCarbon after a change means you accept the update.
